How HouseDNA handles your information
Effective date: October 20, 2026
1. Who we are
HouseDNA is operated by Social Agent Marketing Inc ("HouseDNA," "we," "us," or "our"). This policy explains how we handle information through our website, profile experience, support, and optional messaging. Contact us at our contact form or write to 1109 Garrett Way, Mt. Juliet, TN 37122.
2. Information you provide
We receive the photo Likes, Passes, strongest favorites and other choices you make; search areas, price ranges, property requirements and lifestyle preferences; and an email address when you save using email. If you choose phone sign-in, we receive the phone number you verify. You may also provide your name, contact phone, current address, moving timeframe, agent status, commute preferences, school preferences and notes. Current address and additional personalization fields are optional. Do not enter children’s names, precise ages, financial account numbers, identity documents, medical details or other sensitive information in notes. In the Intelligence in Motion experience, we also collect your selected role, product interest, email verification status and independent consent choices when you request personalized report access. Samples do not require an email address.
3. Device information and essential storage
Our hosting and security providers process connection information such as IP addresses, request times and browser details to serve and protect the website. Browser storage remembers choices. An essential Secure, HttpOnly session cookie supports account access and expires after 30 days. Email sign-in links, when available, expire after 15 minutes and work once. Phone verification challenges expire after 10 minutes, with limits on requests and code attempts. Anonymous photo drafts are eligible for resume for 30 days, but browser copies can remain until cleared. Clearing a browser does not delete a server profile. First-party daily event totals contain no email, address, profile key, search text or persistent visitor identifier and are retained for up to 90 days. The optional HighLevel chat widget loads on interaction; messages you send are processed by HighLevel / LeadConnector for customer support. Intelligence in Motion uses separate email verification links that expire after 30 minutes and private report and invitation links that expire after seven days. These links grant access to their holder; keep them private. A browser save or downloaded file stays on your device until you remove it.
4. Why information is used
We use information to save and restore your profile, show and refine your preferences, provide requested area information, support account access and data controls, diagnose errors and prevent misuse. The intended property-matching service will compare permitted listing information with preferences you choose to provide. Intelligence in Motion supports requested email verification, private saved reports and emailed private report links. Live listing feeds, listing-photo AI and ongoing listing alerts are not connected. Example property comparisons are fictional. We do not treat a match percentage as a decision about housing eligibility, creditworthiness or access to a school.
5. Service providers and area information
We use service providers for hosting, security, customer records, and communications. HighLevel / LeadConnector processes contact information, selected preference summaries, communications, and consent records when those services are used. Twilio Verify processes the phone number, verification message, delivery information and technical request data needed to send and check a code and prevent abuse. HouseDNA does not record your submitted verification code in its application logs. Messaging carriers process phone numbers and message content for delivery. These services are used to operate the requested features, not to enroll you in marketing. Census reports use Census Reporter and public Census data; area maps use OpenStreetMap. Google Places processes search text and connection information to display location suggestions. Your contact form is not sent with a Census or map request. When you request a virtual house, selected design features and an exterior reference are processed by OpenAI to create house and room concepts. Names, contact details, financial answers, exact locations and written notes are excluded from image prompts. HouseDNA stores the design specification and generated images privately and reuses matching cached artwork. Verification, invitation and report delivery emails for Intelligence in Motion use HighLevel / LeadConnector. Seller photos selected in this experience stay in the browser and are not submitted for AI analysis.
6. Google services
When Google Places is connected, its use is also subject to the Google Maps/Google Earth Additional Terms of Service and Google Privacy Policy. Google suggestions are identified in the interface. HouseDNA retains a selected Google place ID when needed; area facts and map boundaries are resolved independently from Census geography. We do not represent Google data as our own.
7. Marketing, advertising and referrals
Saving a profile or supplying a phone number does not subscribe you to marketing, texts, sales calls, or agent referrals. Our text-updates form offers separate, unchecked choices for service messages and promotional home-search messages. We record the choices you submit, the date, form version, source, and supporting technical evidence. SMS enrollment requests are held pending carrier approval and number verification before sending begins. You may withdraw consent by replying STOP to an active text thread or contacting our contact form. SMS opt-in data and consent, including mobile phone numbers collected for texting, are not sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes. We may share this information with providers solely to operate the messaging service, not for their independent marketing.
8. Disclosure for legal or business reasons
We may disclose information when reasonably necessary to comply with law or valid legal process, protect people and the service, investigate misuse, or carry out a lawful business reorganization subject to appropriate protections. These provisions do not permit use of SMS opt-in data or consent for unrelated third-party marketing.
9. Your choices and privacy requests
For access, correction, deletion, portability, consent withdrawal, or other privacy requests, use our contact form or write to the address above. We may verify your identity proportionately before acting. Depending on your location and applicable law, additional rights may include restricting processing, appealing a request decision, or using an authorized agent. We do not unlawfully discriminate for exercising these rights. Clearing a browser removes device data and does not itself delete server or customer-service records.
10. Retention and security
We retain information as reasonably needed to provide requested services, maintain accounts, document consent and opt-outs, resolve disputes, secure systems, and satisfy legal obligations. Retention depends on record type and purpose. Opt-out evidence may be retained to prevent unwanted messages. Deleted information may remain in restricted backups until ordinary expiration and is not restored for routine marketing. We use access controls and encrypted transport; SMS enrollment records and phone verification service credentials are encrypted in server storage. No internet service guarantees absolute security. Protect your email account, phone service, sign-in links, codes and downloaded profile copies. Intelligence in Motion private profile and report storage is configured for 90-day retention. Access links expire separately after seven days; expiration of a link does not itself erase the stored report. Contact us for deletion requests. Consent and opt-out evidence may be retained separately to honor your choices.
11. Children and international use
HouseDNA is intended for adults and is not directed to children under 13. Do not submit private information about children in free-text fields. Contact our contact form if you believe a child has provided personal information so we can investigate and address it. Our service providers may process information in the United States or other countries where they operate.
12. Changes and contact
We update this policy as our practices change and identify the effective date above. Material changes will be communicated as required by law; a policy update does not replace consent required for a new use. Contact Social Agent Marketing Inc at our contact form or write to 1109 Garrett Way, Mt. Juliet, TN 37122.
